The Administrative Assistant is responsible for answering incoming calls and ensuring that each call is routed to the right person successfully.
In addition, the Administrative Assistant is responsible for assisting with Billing Team.
That means that you will be sending monthly Client invoices and handle Client concerns.
The Administrative Assistant is fully responsible for our file room.
That means you will also be collecting the to be filed documents from our legal team and ensuring that everything is put where it should be so that the legal team can grab a file at a moment's notice and know it is up to date and ready to go.
You also must ensure the electronic and physical files mirror each other.
Additionally, the Administrative Assistant is responsible for managing our closed files and ensuring all closed files are closed according to the firm's policy.
In addition, you will assist Legal Team members with filing Leave of Absence and Substitution of Counsel.
Our firm works exclusively on estate and trust matters after a person has passed away.
As a result, our team helps with many uncontested and contested estates.
If done right, the person in this position can significantly impact the client experience by providing an excellent first impression and by making sure the client files are in top shape for the legal team so they can do what they do best.

An ideal candidate for this position is friendly and focused on helping the client solve problems, while at the same time handle emotional clients.
For a person to be successful in this position, he or she must be able to carefully listen to the client, be able to handle themselves professionally and direct the client to the appropriate team member.
To be successful in this position, you must also be a detail-oriented person.
Our legal team members will be counting on you to ensure that each client file is up to date and that everything is organized properly.
This is one of those little things that can make a big impact.
In addition, you must demonstrate solid written and oral communication skills and strong proficiency with office software such as Microsoft Word, Excel, Outlook, and Adobe PDF.
Finally, our firm is a team, and we all work together to give our clients a great experience while working with us.
